Recently, one of the major computer giants was forced to recall over 100,000 monitors because they were built with a faulty component that presented a potential fire hazard. The computer giant can’t be blamed directly for shoddy production (it purchased the monitors from an oversea manufacturer), but its reputation suffered a lot because of the incident. This underscores how important it is to choose a good vendor and enforce strict quality control measures.
The first step in choosing a supplier is determining exactly what you need in terms of quality, and how much you’re willing to pay for it. Insisting on buying only the best quality can bankrupt a company. Meanwhile, substandard products aren’t acceptable at any price, so a balance needs to be struck.
Once the price range is set, purchasing managers have to decide whether to establish an exclusive relationship or purchase from a variety of sources. An exclusive relationship with a vendor generally leads to price cuts, but reliability may become an issue. One way of ensuring reliability is insisting on guarantees and warranties. Fortunately for the computer giants, it set up the contract with its monitor maker in such a manner that it won’t bear any of the recall costs.

Sophie and Andre are tracking down new supplier for their company at a computer trade show in Shanghai:
S: Here you are. I’ve been looking all over for you.
A: Any luck finding a new monitor supplier?
S: Barely. There are some attractive deals, but nobody with a proven track record.
A: We might have to take a chance. There’s no way we can afford our current supplier with the new budget cuts.
S: If you take everything into account, we really can’t drop costs much further. Of the vendors that meet our quality standards and have the production capacity to fill our orders, the vendor we’re using now is the cheapest.
A: We could lower our standards.
S: Sure, just don’t hold me responsible when orders get bungled or we have to issue a recall.
A: Okay. How about pushing for an exclusive contract with our current vendor?
S: I reckon they’d knock off as much as 5 percent if we agreed not to source from anybody else.
A: Fantastic. You go close that deal. I’ll keep working on this.
S: Working on what? None of these companies make anything we need.
A: No, but I might be able to line up a date with that mouse pad model.
